This document outlines the process Sidelines Sports Photography follows at every event we attend, both in terms of general photography consent and our specific approach to photographing individuals under the age of 18.

General Photography Consent

Before every event, we will:

•       Publish advance notice of our intent to photograph on our Instagram account (@bysidelines)

•       Ensure that event signage confirm our attendance and intent to photograph

•       Clearly state in all notices that images may be used on our social media, website, or in promotional materials

•       Include our contact details on all notices for anyone with concerns and/or would like to withdraw their consent: sidelinesphotography@outlook.com

At every event, we will:

•       Confirm with the event organiser on arrival that we have their permission and consent to photograph at the event

•       Ensure that visible signage is displayed at the entrance or registration point stating that photography is taking place

•       Follow any specific photography guidelines set out by the event organiser, club, or institution

•       Act immediately on any objection raised by an individual who does not wish to be photographed

Child Safeguarding & Photography Policy

Sidelines Sports Photography is committed to the safeguarding and protection of children and young people. The following outlines our specific approach to photographing individuals under the age of 18 at sporting events.

Prior notice — before every event involving under-18s, we will:

•       Publish advance notice of our intent to photograph on our Instagram account (@bysidelines)

•       Ensure visible signage is displayed at the event

•       Clearly state in all notices that photography is taking place and that images may be used on our social media, website, or in promotional materials

•       Include our contact details on all notices for anyone with concerns: sidelinesphotography@outlook.com

At the event, we will:

•       Display visible signage at the entrance or registration point stating that photography is taking place

•       Only photograph under-18s in the context of their sport - action shots, group shots, and team photos only

•       Never take isolated portraits of individual children

•       Always follow the safeguarding and photography policies of the event organiser, club, or institution

•       Ask on arrival whether any athletes should not be photographed

When publishing or sharing images of under-18s, we will:

•       Never name, tag, or otherwise identify a minor in any caption or social media post

•       Never publish close-up individual portraits of under-18s outside of a sporting context

•       Never make individual purchasable images of under-18s available through our store without verifiable parental or guardian consent

•       Act immediately and without question on any request to remove an image of an under 18 from any platform

When hired by a club, school, or organisation, we will:

•       Request written confirmation that the organiser has obtained appropriate consent from parents and guardians for photography at the event

•       Make clear that responsibility for parental consent sits with the hiring organisation

•       Ensure this confirmation is received before the event takes place

Objections & Removal Requests

If any individual, parent, or guardian raises an objection to the use of an image:

•       The image will be removed immediately and without question from all platforms

•       A record of the request and our response will be kept

•       Removal requests can be made at any time by contacting us at sidelinesphotography@outlook.com
